Job Description
Work closely with the Operations Manager and Director of Operations and their Physician Leader counterparts to ensure that expectations of the patients and providers are met. Adhere to clinic operating budget including projecting patient volumes, revenue, technical and professional fees, equipment expenditure, staff growth, and space needs. Analyze monthly financial and operational reports for statistical data on patient volumes, clinic production, and revenue. Collaborate with medical directors to determine and/or make recommendations on operating policy changes; developing, modifying, and executing policies that affect the immediate operations of the clinic. Decision making is highly revolved around resolving clinic operations issues that require data analysis or in-depth operational knowledge and can also be focused on potential future operations issues. Manage the program’s intake process, including screening of potential patients for clinical appropriateness, coordination with Patient Access and Managed Care Department, and communication with patients, families, and referral sources. Implement relevant EHR modifications and additional technologies to enhance quality and efficiencies with intake processes. Participate in marketing strategies to develop programs to enhance and further our competitive advantage. Develop and maintain relationships with healthcare providers, suppliers, and vendors. Maintain accurate patient records and ensure that patient information is kept confidential. Manage patient complaints and resolve conflicts between patients and staff. Oversee accounts payable, purchasing/inventory, payroll, billing, and collection functions for clinics. Oversee communication between the patients and billing office, including financial arrangements and charity care requests as needed. Conduct TMS sessions per psychiatrist protocols, ensuring proper coil placement, patient safety, and comfort throughout treatment. Educate patients on TMS therapy, address concerns, document progress in EHR, and schedule evaluations and follow-ups. Set up, calibrate, troubleshoot, and clean TMS equipment to ensure optimal performance and compliance, as needed. Manage clinic staff; responsible for recruitment, terminations, and managing performance. Manage recruitment, retention, training compensation, and performance management of all clinic support staff. Responsible for succession planning and career development of team. Responsible for identifying and discontinuing careless and negligent patient care due to staff skills, errors, faulty judgement, or inadequate processes, policies, and workflows specific to the clinic. Provide education and direction to frontline staff on the partnership’s direction, initiatives, and strategic plans. Lead monthly all-staff meetings and actively participate in ongoing provider meetings. Serve as frontline support in the absence of staff. This includes all patient communication, triage, documentation, administer Transcranial Magnetic Stimulation services and associated protocols. Oversee the clinic’s participation and compliance with all Vituity programs. Oversee quality and medical management programs for the clinic. Oversee maintenance of the clinic’s building, offices, and equipment. Ensure compliance with all regulatory agencies governing healthcare delivery and rules of accrediting bodies; must continually monitor operations. Stay updated on TMS advancements, participate in training programs, and follow all safety and regulatory guidelines. Bachelor's degree in healthcare administration, business administration, or a related field required. Four (4) years of healthcare experience required OR an equivalent combination of education and experience that demonstrates attainment of the required competencies. Six (6) years of clinical experience required. Four (4) years of leadership experience in a healthcare setting and role required. Able to successfully navigate issues that impact providers, clinic operations, compliance, and business goals as well as understand their correlation and impact. Expected to use sound judgment and be able to recognize issues, or a pattern of issues, with policies and processes. Develop and maintain effective and professional relationships with patients, staff, and providers. Strong understanding of healthcare systems, regulations, and policies. Demonstrate knowledge about medical terminology, patient care, and clinical procedures. Able to effectively lead and manage a team of healthcare professionals. Strong understanding of financial management principles, including budgeting, forecasting, and revenue management. Excellent communication skills to interact with patients, staff, and other healthcare providers. This includes being able to communicate clearly and effectively both verbally and in writing. Must be highly organized and able to manage multiple priorities. Know-how and experience using technology and electronic health records (EHRs) to manage patient data and clinical operations.
