Requirements

  • Supervises staff and sets day-to-day operational objectives for the team
  • Ensures policies, practices, and procedures are understood and followed by direct reports, customers, and stakeholders
  • Manages office supplies inventory and place orders as necessary
  • Coaches and mentors staff and assigns and monitors clerical, administrative, and secretarial responsibilities and tasks among office staff
  • Schedules group meetings, maintains calendars, and manages daily operations
  • Maintains records, documentation, and files, particularly more complex or sensitive files
  • Manages relationships with vendors and service providers, ensuring that all items are invoiced and paid on time
  • Processes all freight bills for customer shipments, determines and reconciles any discrepancies
  • Develops, evaluates, and implements office policies and procedures
  • Completes, prepares, and distributes various forms, reports, and documents
  • Produces statements and month-end supply reports to the corporate as needed
  • Participates in office budget preparation and administration
  • May manage financial journal entries, monthly and annual P&L statements and support inventory calculations
  • May process workers' compensation paperwork and maintain spreadsheet
  • Communicates goals and objectives, applies company policy, staffs, trains, coaches, recommends salary increases, insures positive employee relations and reviews the performance of colleagues
