PURPOSE AND SCOPE:
Under general supervision, the PT Coordinator I, Fine Arts provides oversight and facilitation of day-to-day operations within assigned area of specialty, participating in planning, development, evaluation and improvement. Assists with ensuring smooth and efficient operations. Responsible for coordination of support functions such as scheduling, communications, workflows, supplies, information processing, and staff support. May be responsible for coordinating budget planning process and for tracking and coordinating budget expenditures. Makes and communicates process decisions based on best practices.
ESSENTIAL JOB FUNCTIONS:
Provides individualized attention for Fine Arts (FA) students acting as first-line contact for information and general questions
Tracks FA student progress and student-required attendance events; generates basic reports for Directors
Works with various college departments and divisions for information flow – calendaring, ensuring FA events are included in all applicable communications, etc.
Provides event support/logistics assisting with multiple events at one time
Performs basic Art gallery duties, booking and communicating with artists, and assisting with contracts
Provides assistance with purchases and business operations
Maintains music and theater libraries
Provides general recruiting/promotional support – assisting with community outreach, posting posters/flyers, etc.
Supports social media campaigns in conjunction with Directors
Acts as point-of-contact for FA faculty/staff, classroom resources and assists faculty with copying/printing/instructional needs
Takes calls and responds to general inquiries related to the program or specific events
Coordinates with Box Office Manager - promotional communications/campaigns/details
Provides overall administrative support for Directors and faculty (works in conjunction with theater, music, and art faculty)
Responsible for other reasonable, related duties as assigned

PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
Interface with internal and external contacts as needed to carry out the functions of the position
Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
High school diploma or GED and at least 1 year of related work experience, or an equivalent combination of education and experience
