PURPOSE AND SCOPE:
The PT Coordinator I, Planning and Events assists supervisors and managers by ensuring the accomplishment of operational outcomes in processes or programs. Assists in the planning, implementing and logistical support for college functions, special events, community events and programs. The coordinator develops and maintains a working relationship with faculty, staff and leaders of outside groups in planning and scheduling all events and programs for the college, supervises all support activities and makes arrangements for housing, food services, facilities and amenities with the college and approved vendors.
ESSENTIAL JOB FUNCTIONS:
Plan, organize, implements and coordinate campus-wide and co-sponsored special events
Work extensively with faculty, staff and administrators to plan departmental events
Oversee setup, management and event clean up
Liaise between the college and external customers
Administer campus rentals and contracts
Handle event budget allocations and reconciliations
Oversee vendor quotes and negotiations
Troubleshoot and resolve event related issues
Assist with non-academic and special events room scheduling
Lead cross-functional departmental event meetings for changes and/or updates
Maintain and update the R25 scheduling system for accuracy and data maintenance
Schedule internal and external events and assign space as needed in R25
Creates R25 reports for space utilization, academic queries and iStar errors
Perform other tasks as related to event management and scheduling
Responsible for other reasonable, related duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of R-25 and X-25 databases
Strong attention to accuracy and detail
Possesses good organizational skills
High level of customer service
Has basic knowledge of general office and software applications
Close visual acuity to perform an activity such as: preparing and analyzing data and figures, viewing a computer terminal, and/or extensive reading
Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to others accurately, loudly, or quickly
This position requires attention to details and basic knowledge of the general office use of computers and software applications.
Requires a working knowledge of general office procedures and practices
Ability to prepare reports
Ability to prioritize duties
Ability to receive detailed information through various communication channels, and to respond appropriately
Ability to convey detailed or important spoken instructions to other workers accurately and concisely
PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
Interface with internal and external contacts as needed to carry out the functions of the position
Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
High school diploma or GED and at least 1 year of relevant work experience, or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
Associate's degree
Two years of experience coordinating and directing special events, including event set-up, catering, and decorations and other hospitality needs
