We have an exciting opportunity to join our team as a Admin Assistant.
In this role, the successful candidate The Administrative Assistant organizes all office functions which assists in the daily operation and planning of the Engineering department.
Ensures that records for compliance with Medical Center policies and procedures governmental regulations and standards for accreditation and certification from various agencies are filled and kept readily available.
Schedules appointments/ meetings. Makes travel/conference arrangements.
Prepares reports minutes letters etc.
Assists with presentation materials for committee meetings, etc.
Prepares charts and timetables. Assists with the preparation of materials agendas notes handouts etc. Attends meetings and takes minutes for director
Helps to identify supply needs for department. Maintains the supplies including the requests for outside purchases of supplies and equipment as requested. Initiates check/ purchase requests as directed.
Handles incoming / outgoing mail to include opening sorting and prioritizing. Answers routine inquiries and drafts correspondence and other documents as necessary
Creates special graphs charts and other presentation-specific display materials using Power Point and other graphic software.
Maintains and updates hospital and departmental policies procedure, etc. Keeps hardcopy and intra net manuals current and up to date. Coordinates the purchase and renewal of subscriptions journals videos etc. Assists with mailings and distributions.
Works independently and willingly accepts other assignments as requested. Communicates with the public. Works under pressure and handles multiple priorities
Maintains Engineering work order system for Preventive Maintenance items
Maintains Kronos time keeping system.
Inputs and retrieves bar-code data into the P.M. computer
Maintains engineering financial records files and logs.
Attends all required in-services
Performs other tasks as directed by the Director and Vice President of Facilities.
To qualify you must have a High School diploma or equivalent.
2-5 year experience as an Administrative Assistant
Office manager or similar role.
MS Excel WS Word OUTLOOK Four Rivers
LMC sponsored programs.
Qualified candidates must be able to effectively communicate with all levels of the organization.
