As part of the Corporate Communications Team, the Event Management Specialist reports to and supports the CEO Assistant & Enterprise Meeting Manager, who oversees all high-visibility Company meetings and special events. This position is responsible for the development, logistics and execution of a portfolio of meetings and events. The planner will work closely with internal clients and executives to target event goals, plan and deliver exceptional participant experiences, and manage within budget. Major tasks include securing venues, budget forecasting and management, sourcing and overseeing all on-site vendors, tracking technology needs, negotiating hotel blocks, on-site trouble shooting, receipt and organization of event assets post-show, and reconciliation of all invoicing post program. Project management, vendor management, and superb execution skills for live and virtual events are critical skills for success in this role. The planner will adhere to and reinforce the Corporate Meeting Standards.
Knowledge, Skills & Abilitites
Minimum of 5 years of experience in meeting planning in either a corporate setting or hotel/catering atmosphere.
Experience managing meetings and events for large corporations.
Experience collaborating and/or planning events with and for C-suite executives.
Certified Meeting Professional (CMP) designation
Plans and executes a portfolio of Corporate event logistics, including (but not limited to) Investor Tours, Recycling Tours, Grand Openings, Charitable Events, Annual Shareholder Meeting, and departmental meetings as well as supports key events led by the Enterprise Meeting Manager, including (but not limited to) Executive Council Meetings, Board Meetings, Waste Expo, General Management Conference, ROAD-EO National Championship and Winners Circle.
Relates to people in a manner so as to win confidence, support and understanding in the purposes, programs and goals of the organization.
Applies tech savvy understanding to promote events by building registration sites; managing pre-, during and post-event communications to participants using digital tools.
Utilizing a strong attention detail, manages timelines, agendas, budgets, giveaways, venue selection, contract negotiation, third-party vendors, deadlines for tasks, food and beverage selection, onsite volunteers and staff, and client expectations along the way.
Keeps current on industry trends and opportunities to improve the effectiveness as a Meeting Planner and the overall experience of all meetings and events.
Maintains the highest ethical standards in regards to vendor and venue relations.
Actively participates in planning meetings, sharing ideas, evaluating options and setting expectations.
Maintains a master calendar of key events, as well as event principles for key reoccurring Company meetings.
Measures success of events through post-event surveys and other means.
This position may require travel by air, car and/or other modes of transportation up to 25% of the time.
Performs other job-related duties as assigned.
