Job Description

The Raikes Executive Office seeks a Director, Executive Office Operations, in a leadership role in service of the Raikes and the Raikes Executive Office to ensure the Executive Office team has the resources, information, and processes for success, including supporting rhythm of business planning, prioritization, goal keeping, and implementation.  
The Director will report to the managing director. The Director will be accountable for managing the two executive assistants who support, and who also have dotted line relationships to, Tricia and Jeff Raikes. Additional administrative support for the broader Executive Office team is being considered and the Director may have a role to play in providing oversight and/or management for any new such support staff. 
In addition to the Raikes Executive Office team, the Director, Executive Office Operations, will maintain close working relationships with a variety of individuals within the North Forty Group and Raikes Foundation ecosystems. This includes, but is not limited to, the executive director and chief of staff to the Raikes Foundation and North Forty Group’s chief operating officer.  
Facilitate Strategic Prioritization of the Principals’ Time and Support Principal Briefing, Correspondence, and Learning 
Ensure the Raikes’ time is effectively allocated through strategic planning in partnership with the executive assistants, prioritizing time for strategy, learning, and reflection 
Lead rhythm of business planning for the Raikes Executive Office, ensuring the annual calendar of key events and priorities are successfully set and achieved 
Manage and triage priorities in collaboration with appropriate stakeholder(s) and ensure that content and principal time allocation are organized accordingly 
Draft correspondence, talking points, and summaries on behalf of the principals; work with executive assistants to ensure timely completion and dissemination of materials and briefings 
Support the development of learning agendas for the Raikes 
Provide oversight of all inbound requests for the Raikes and the managing director; partner with executive assistants to ensure all requests are promptly addressed or responded to 
Maintain strong relationships across the broader organization to ensure the Raikes remain accessible  
Staff the Raikes and managing director during events and meetings, when needed 
Lead Daily Operations of the Executive Office Team  
Define and articulate how the Executive Office does business as a team 
Develop and implement the team’s overarching operational systems and structures in coordination with the executive assistants and other administrative team members 
Prioritize efficiency and consistency of Executive Office workstreams; develop systems to ensure no commitments slip through the cracks and milestones are completed against larger objectives 
Ensure timely and accurate completion of deliverables and priorities while promoting collaboration and communication across the Executive Office team 
Manage the Executive Office budget and business planning processes 
Monitor and evaluate Executive Office team capacity and workload balancing; raise considerations for new staff or resources 
Lead and execute special projects on behalf of the Raikes and/or managing director 
Provide management of two executive assistants, who also have dotted-line relationships to the Raikes; identify opportunities for them to take on new challenges for growth and development 
Support the managing director with respect to organizational development and team building for the Raikes Executive Office 
Serve as a Collaborator and Integrator Across the Broader Enterprise 
Ensure communication channels and information sharing remain highly collaborative among the Raikes Foundation, North Forty Group, and the Raikes Executive Office 
Support regularly-scheduled Cabinet meetings, comprised of the Raikes, the Raikes Foundation executive director, North Forty Group’s chief operating officer, and the Raikes Executive Office managing director; compile and disseminate pre-read and preparation materials and agendas, and ensure timely follow-up of action items 
Partner with the chief of staff of the Raikes Foundation to better leverage principal time, engagements, and other opportunities related to Foundation priorities 
Prioritize close collaboration and coordination across the enterprise, ensuring the appropriate stakeholders are consulted and/or informed when needed; create cohesion among the broader enterprise and eliminate impediments for improved effectiveness  
Serve as an active participant in the organization’s diversity, equity, and inclusion (DEI) initiatives; champion an inclusive culture and adapt practices 
At least 8-10 years of professional experience 
Previous experience supporting C-level executives and/or staffing principals in a political or business environment, strongly preferred 
Strong knowledge of operational systems and structures for teams and an executive office 
Exceptional project management and process improvement skills 
Proven ability to communicate effectively, orally and in writing, mindful of different audiences 
Experience managing team members 
Ability to implement and lead change management processes 
Ability to manage time-sensitive projects, shifting priorities, and competing interests with poise, interpersonal savvy, and exceptional attention to detail 
Strong leadership presence and emotional intelligence to cultivate internal relationships  
Ability to motivate and achieve results through influence rather than authority 
Ability to foster and facilitate strong collaboration and communication across teams 
Maturity and sophistication to work effectively with a variety of stakeholders 
Demonstrated pursuit of diversity, equity, and inclusion; direct experience and content knowledge of diversity, equity, and inclusion practices highly valued 
Excellence in execution, experience implementing strategic visions at a tactical level

Proficiency in MS Office tools and products strongly preferred
