Job Description
The Admissions Coordinator supports and coordinates key operational functions within the admissions process to ensure a smooth and efficient experience for prospective clients and families. This role manages assessment scheduling, admission preparation, authorization and documentation tracking, admissions logistics, and data integrity across systems such as Salesforce and the electronic health record (EHR).
Requirements
Maintains and manages a centralized assessment schedule across admissions counselors
Coordinates scheduling of assessments, including confirming availability, sending reminders, and ensuring all required information is collected in advance
Tracks prospective clients throughout the admissions pipeline from inquiry through assessment and identifies delays or barriers to progression
Maintains and tracks admission readiness checklists to ensure all pre-admission tasks are completed accurately and on time
Assists with development and entry of initial patient group schedules into the electronic health record
Coordinates meals and other logistical needs during admission day activities
Monitors completion of key clinical documentation required for authorization processes
Maintains accurate authorization tracking systems and related records
Identifies and escalates delays, workflow issues, or bottlenecks within the admissions process
Supports reporting related to admissions volume, scheduling utilization, conversion metrics, and operational performance
Maintains accurate and complete data entry within systems including Salesforce and the EHR
Maintains organization of admissions materials, forms, supplies, and operational resources
Assists with front desk coverage and intake support as needed
Demonstrates professionalism, compassion, and excellent customer service in interactions with prospective clients, families, referral sources, and staff
