Job Description
Assist and support the Project Manager in scheduling equipment, resources, and information to implement projects; organize, attend, and participate in stakeholder meetings; document and follow up on important actions and decisions from meetings; and ensure all documentation is maintained appropriately for each project.

Requirements

  • Establish document templates to capture and track project information upon project initiation
  • Plan meetings and organize project logistics
  • Perform project cost control tasks
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored
  • Organize reports, invoices, contracts, and other financial files
  • Assist with preparing and reviewing project proposals, memos, meeting minutes, and emails
  • Communicate with clients as needed and directed by the PM to provide updates, request information, and facilitate group communication
  • Prepare necessary presentation materials for meetings
  • Provide administrative support as needed
  • Monitor the progress of project tasks such as action items and key deliverables
  • Provide detailed updates to project managers or other stakeholders
  • Act as secondary client contact
