Role Overview

The Certification Support Specialist plays an important role in supporting the certification process through accurate database management, documentation preparation, client and auditor coordination, and administrative support. This position is part of the Client Services Department and requires a highly organized, detail-oriented, responsive, and committed individual to deliver exceptional service to clients, auditors, and fellow team members.

What You Will Do

Responsibilities include organizing and maintaining client, audit, and certification information, creating and preparing audit documentation, providing administrative support, reviewing client and audit records, coordinating with clients and auditors, and tracking assigned tasks and deadlines.

  • Ability to manage multiple priorities, deadlines, and assignments in a fast-paced, process-driven environment.
  • Ability to accurately enter, review, maintain, and retrieve information within database and management systems.
  • Strong problem-solving skills with the ability to identify missing or inconsistent information and proactively coordinate resolution.
  • Familiarity or experience with food safety certification programs (including SQF and FSSC 22000), ISO standards, or similar management systems is beneficial but not required.
  • Basic understanding of business accounting as it relates to auditor expenses and customer invoices.
  • Ability and willingness to learn documented auditor competency, certification, regulatory, and compliance requirements.
  • Ability to clearly, professionally, and concisely communicate with employees, customers, and auditors.
  • Proficiency with Microsoft Office Suite and the ability to quickly learn new software and database systems.
  • Strong verbal and written communication skills.
  • Commitment to providing exceptional internal and external customer service.
  • Demonstrated ability to work independently while contributing effectively within a collaborative team environment.
  • Ability to handle confidential and business-sensitive information with professionalism and discretion.
  • Eagerness to learn new regulatory, accreditation, certification, and compliance systems.
