Basic Function and Responsibility:



The Enrollment Systems and Communications Coordinator supports the execution of enrollment communication strategies and assists with maintaining enrollment-related systems. This role plays a key part in implementing communication plans, managing digital platforms, and ensuring timely and effective messaging to prospective students. Working closely with the Enrollment Systems and Communications Manager, this position helps execute communication workflows, analyze engagement data, and support enrollment-related initiatives.



Characteristic Duties and Responsibilities:



  • Implement the enrollment management strategic enrollment outreach plan and calendar, ensuring timely and consistent messaging.
  • Implement, schedule, and update enrollment email campaigns using TargetX or similar CRM platforms.
  • Maintain and update the Enrollment Services website to ensure accurate and engaging content.
  • Manage social media content related to enrollment efforts in collaboration with the Marketing and Communications team.
  • Collaborate with Marketing and Communications in creating digital media assets, including videos, graphics, and messaging for various platforms for enrollment related functions.
  • Assist the Enrollment Systems and Communications Manager with maintaining and optimizing enrollment systems in collaboration with CRM Administrators and IT teams.
  • Support software testing, implementation, troubleshooting, and updates related to enrollment systems and communication tools.
  • Maintain and update the Enrollment chatbot to enhance student engagement.
  • Monitor and analyze communication performance metrics (e.g., open rates, engagement) and provide insights for improvements.
  • Assist the Enrollment Systems and Communication Manager with the preparation of reporting tools for Enrollment Management, including but not limited to statistical reports, communications audits, and CRM performance and usage reports.
  • Coordinate the promotion of enrollment-related events through digital and email communications.
  • Compile and distribute internal newsletters with enrollment updates for key stakeholders.
  • Collaborate with the Enrollment Management Leadership Team to execute technological systems and communications tasks.
  • Perform other job-related duties as assigned.



Requirements:


Qualifications and Working Conditions:



  • Bachelor's degree or an equivalent combination of education and experience from which comparable knowledge and skills can be acquired is required.
  • Two years of experience in an area of student service, using college support software and a CRM (preferably Ellucian Banner and/or Salesforce/Target X) is required.
  • Must have strong written and verbal communication skills. Strong analytical skills to assess communication effectiveness.
  • Project management experience preferred.
  • Proficiency in managing websites, social media, and digital communication platforms required.
  • A high level of interpersonal and communication skills and the ability to deliver services in an environment where there is an emphasis on customer service are required. Incumbent must be able to give and receive advice and opinions and interact with individuals in situations requiring sensitivity and tact.
  • Strong organizational and detail-oriented skills, along with ability to mentally attend and visually concentrate on a significant amount of detailed work is required.
  • Intermediate word processing (Microsoft Word preferred), intermediate spreadsheet application (Microsoft Excel preferred), and intermediate presentation application (Microsoft PowerPoint preferred) skills are required.
  • General office environment. Little or no exposure to adverse working conditions.


 






Additional Information:


Supervision Received:



Functional supervision is received from the Enrollment Systems and Communications Manager. Administrative supervision is received from the Director of Enrollment Services.



Supervision Exercised:



Functional supervision may be exercised over student employees.



HOURS:  Monday - Friday - 8:15 am - 5:00 pm



SALARY: The hourly salary of this position is $29.87 which equates to $60,189 annualized based on Oakton's summer hours schedule



Based on the needs of the college and with Administrator approval, some positions at the college may have a hybrid schedule option available after 30 working days.

All employees must maintain their primary residence in Illinois, Indiana, or a reciprocal state with Illinois. Reciprocal states include Iowa, Kentucky, Michigan, and Wisconsin. Illinois has tax agreements with these reciprocal states. Employees may have their primary residence in Indiana since Indiana is adjacent to Illinois.
