Job Description
The HR Compliance Specialist position is responsible for developing and implementing a records management program, performing internal audits, and providing information for external audits.
Requirements
Maintenance of the Records Management strategy to ensure Hope Network is complying with all legal and regularity requirements.
Filing on a regular basis to ensure employee files are maintained.
Responsible for ensuring records management policies, processes, procedures and tools are implemented.
Manage the release of information to meet the requests for documentation and provide assistance as needed.
Manage the on-site and off-site; transfer, storage, retention and destruction of personnel records in compliance with Records Management policies.
Appropriate storage and maintenance of I9 documents for active and terminate employees.
Responsible for preparing employee files for licensing review and notifying the appropriate staff when information is missing, outdated or incomplete.
Periodically audit critical information for accuracy and parallel consistency.
Send out Bullard-Plawecki letters within 24-hours of receipt.
Responsible for making sure the employment file cabinets are unlocked during normal business hours and locked at the end of the business day.
Assemble new hire files and disassemble all terminated files.
Copy and distribute employee files or portions of the files as identified by request or subpoena.
Provides analytical data/metrics on a monthly basis.
