Job Description
The HR Compliance Specialist position is responsible for developing and implementing a records management program, performing internal audits, and providing information for external audits.

Requirements

  • Maintenance of the Records Management strategy to ensure Hope Network is complying with all legal and regularity requirements.
  • Filing on a regular basis to ensure employee files are maintained.
  • Responsible for ensuring records management policies, processes, procedures and tools are implemented.
  • Manage the release of information to meet the requests for documentation and provide assistance as needed.
  • Manage the on-site and off-site; transfer, storage, retention and destruction of personnel records in compliance with Records Management policies.
  • Appropriate storage and maintenance of I9 documents for active and terminate employees.
  • Responsible for preparing employee files for licensing review and notifying the appropriate staff when information is missing, outdated or incomplete.
  • Periodically audit critical information for accuracy and parallel consistency.
  • Send out Bullard-Plawecki letters within 24-hours of receipt.
  • Responsible for making sure the employment file cabinets are unlocked during normal business hours and locked at the end of the business day.
  • Assemble new hire files and disassemble all terminated files.
  • Copy and distribute employee files or portions of the files as identified by request or subpoena.
  • Provides analytical data/metrics on a monthly basis.
