Job Description
The Boeing Company's Law Department is seeking a Legal Executive Assistant to join their team. This person will support a Vice President as well as other attorneys/executives within the Law and Global Compliance organization and provide administrative support in a variety of legal practice areas.

Requirements

  • Support all aspects of assigned executive attorneys' daily work routine
  • Understand and adapt to unique priorities, working habits and preferences of each executive
  • Serve as a liaison and point of contact between attorneys and their internal and external clients, outside counsel, and government officials and agencies, as needed
  • Monitor the status of pending items, and keep executives advised of time-sensitive issues and emergent matters
  • Coordinate and manage attorney calendars by accurately scheduling meetings, conference calls and video conferences across multiple time zones
  • Assist in the development, preparation, proofreading, revision and distribution of meeting agendas and materials, presentations, legal documents, financial spreadsheets, tables, charts, reports, and routine correspondence
  • Maintain paper and electronic filing systems using accepted legal office practices and the company's record keeping systems and procedures
  • Follow Boeing policies and procedures, and use industry accepted security practices when handling sensitive and confidential information and communications
  • Schedule and coordinate domestic and international travel; regularly monitor all logistical aspects of the trips; revise meeting agendas, tour schedules and travel itineraries, as needed; communicate changes to all parties involved in a timely fashion
  • Prepare, reconcile and submit expense reports using Concur to ensure timely and accurate payment and/or reimbursement
  • Use Boeing's internal legal matter management system to create, monitor and manage legal matters; process invoices and generate reports, as needed
  • Register, process and escort domestic and foreign visitors
  • Receive, sort, prioritize and accurately distribute office mail in a timely fashion; handle all sensitive and confidential information with discretion and proper safeguards
  • Coordinate work with other Law & Global Compliance staff members; provide backup support for other attorneys/executives, as needed
  • Assist with the onboarding of new attorneys, and with the training and onboarding of new support staff members
  • Order and maintain office supplies using Boeing's approved system, and in accordance with Boeing's policies and procedures
  • Take on various other work and responsibilities, as needed
  • Know and abide by Boeing's policies and procedures at all times
