PURPOSE AND SCOPE:
The PT Coordinator I, Community Relations is responsible for coordinating general functions in Community Relations. Functions may include coordination of service, purchasing, delivery of materials, events, or resources. May be responsible for tracking budget expenditures or other items and/or services. Uses excellent customer service skills in contact with college students, staff, faculty, and community members. The Coordinator I reports to Coordinator III, Community Relations and must maintain ongoing and effective communication with key personnel. This person may also be asked to assist with special projects as assigned by the Office of Community Relations.
ESSENTIAL JOB FUNCTIONS:
Schedules events and meetings; maintains Community Relations activities special events calendars
Assesses needs at Houston North locations to guide the development of Community Relations events to meet those needs
Coordinates catering, technology, and facilities needs for Community Relations events
Purchases supplies and promotional specialty items for Community Relations office
Assists in Community Relations budget planning process by tracking budget expenditures and monitoring Community Relations' budget tracking process
Assists Community Relations in completing essential paperwork and event planning
Assists with maintenance of Community Relations website, assisting Community Relations with advertising events and meetings
Develops and promotes events at all Houston North locations
Responsible for Community Relations inventory and storage
Responsible for other reasonable, related duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
Proficiency with common office software (i.e. Microsoft Word, Excel, Access, Outlook, etc.)
Exemplary people and communication skills are critical
Ability to create and display PowerPoint presentations
Time management and strong organizational skills; ability to prioritize and respond in a timely fashion
Excellent customer service skills
Demonstrated ability to build and maintain relationships and positively serve a diverse population
Ability to prioritize own work and to work with minimal supervision and maintain confidential information
PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
Interface with internal and external contacts as needed to carry out the functions of the position
Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
High school diploma or GED equivalent and at least 1 year of related work experience, or an equivalent combination of education and experience
