Job Description
The Ohio Department of Rehabilitation and Correction is seeking a Program Administrator 1 to support the Corrections Training Academy (CTA). The ideal candidate will have a strong understanding of management and supervisory principles, as well as agency policies and procedures. The Program Administrator will be responsible for a range of tasks, including transmitting decisions and directives, researching and analyzing programs, and coordinating events.

Requirements

  • Thorough knowledge of management supervisory principles/techniques and agency policies and procedures in the section of the Corrections Training Academy (CTA)
  • Relieves Superintendent of Corrections Training Academy (CTA) of non-routine administrative duties
  • Acts for administrator and serves as a liaison between administrator and subordinates
  • Transmits decisions and directives
  • Researches and analyzes programs, procedures and policies and provides technical advice to aid administrators in decision making
  • Independently creates CTA weekly report for submission to Deputy Director of Human Resources (HR)
  • Scans and files sensitive incident reports serving as liaison between Superintendent and appropriate Warden
  • Tracks, analyzes and sends Academy goals reports to inform staff of progress
  • Conducts research and provides recommendations for programs
  • Represents Superintendent at meetings
  • Handles confidential correspondence and responds to inquiries regarding students and staff of CTA
  • Administers special program and projects
  • Plans and schedules events, rooms and organize people
  • Coordinates range use agreements and responds to employees and public making requests to schedule CTA firing ranges and classrooms
  • Organizes and coordinates banquets and special awards ceremonies (e.g. CTA Correction Officer of the Year Banquet) providing technical advice to staff and others involved in arrangements
  • Assists with CTA staff meetings by sending notices, preparing agendas and taking and distributing minutes
  • Obtains Superintendent’s signature on documents and distributes as necessary
  • Screens visitors and mail for Superintendent’s office
  • Prepares binders and other confidential materials used for Department of Rehabilitation and Correction’s Executive Leadership class
  • Supervises support staff in absence of manager
  • Conducts staff meetings to discuss rules and operating procedures for assigned area, monitors manpower needs and ensures sufficient number of personnel to complete special assignments/projects
  • Assigns reviews and approves work for content and accuracy
  • Authorizes expenditures and purchases
  • Prioritizes and approves schedules and itineraries
  • Approves requests for leave, overtime, compensatory time, attendance records and travel expenses
  • Identifies training needs and conducts or arranges for training opportunities (i.e. on-the-job and in-service)
  • Writes employee goals and completes and conducts timely performance evaluation reviews
  • Responds to EEO complaints and grievances if necessary
  • Conducts investigations and presents at pre-disciplinary hearings of alleged staff misconduct as requested
  • Initiates disciplinary action if necessary
  • Responds to complaints about staff
  • Screens and interviews applicants
  • Attends meetings, trainings and conferences
  • May give presentations and conduct trainings
