Job Description:
Basic Function and Responsibility
Under general supervision the primary responsibility of this role is to compile and manage data related to TRIO program participants, services, and federal reporting requirements. This role will also involve maintaining and processing data to support grant objectives and provide requested data to the College. The incumbent will provide assistance with administrative and clerical tasks in the TRIO program office.
Characteristic Duties and Responsibilities
- Maintain and update student data files and computer records for student participants.
- In collaboration with the program manager, compile, process, and manage data from the program's database, ensuring accuracy and completeness for federal reporting and program evaluation.
- Establish and maintain data records to assist with grant compliance, program objectives, and College reporting requirements.
- Prepare data reports for the TRIO team.
- In collaboration with the program manager help coordinate data collection and input processes to ensure timely and accurate data submission for grant reporting.
- In consultation with the program manager, monitor and track expenses associated with departmental budgets.
- Create, revise, and update procedures needed for program services and to comply with federal report requirements. Track required forms and create reports.
- Maintain efficient, timely, and accurate responses to internal and external inquiries via phone, e-mail, and in-person.
- Maintain inventory of office supplies and prepare, organize, and submit invoices, purchase requests, travel forms, and other college-related documents.
- Attend Student Support Services/TRIO Program staff meetings.
- Assist with front desk coverage as needed.
- Perform other job-related duties as assigned.
Requirements:
Hiring Qualifications and Working Conditions:
- Associate's degree is required. A bachelor's degree is preferred.
- Three years of administrative assistant experience is required and previous experience with grant reporting is preferred.
- The ability to manage data and use critical thinking skills is required. Experience with database applications such as Student Access, Banner, and Zogotech, is preferred.
- Intermediate word processing, intermediate spreadsheet application (Advanced Microsoft Excel preferred), and beginning presentation application skills are required. Strong writing skills.
- Ability to multitask among shifting priorities and maintain professionalism with internal and external visitors in high-traffic areas.
- Experience with TRIO programs is strongly preferred.
- Experience with student support programs and services, particularly in a college setting, is preferred.
Physical Demands:
- Work is performed in a general office environment and is sedentary in nature. Little or no exposure to adverse working conditions.

Supervision Received:
Functional supervision is received from the Manager of TRIO Student Support Services. Administrative supervision received from the Dean of Access Equity and Diversity.

Oakton College's primary location of operation is in the state of Illinois. An "out-of-state employee" is defined as an employee of Oakton College whose primary work location is outside of the state of Illinois. Allowable States for Out-of-State Employment:
All employees must maintain their primary residence in Illinois, Indiana, or a reciprocal state with Illinois. Reciprocal states include Iowa, Kentucky, Michigan, and Wisconsin. Illinois has tax agreements with these reciprocal states. Employees may have their primary residence in Indiana since Indiana is adjacent to Illinois.
Hours: 25 hours per week to be worked Monday - Friday between 8:15 am - 5:00 pm
Salary: The hourly salary of this position is $22.29
This is a temporary grant position and continued employment, is based on the successful renewal of the grant.
Based on the needs of the college and with Administrator approval, some positions at the college may have a hybrid schedule option available after 30 working days.
